SMS Terms and Conditions – Insurance Management Services (IMS)

Please read these SMS Terms and Conditions carefully before participating in the IMS SMS program. By opting in to receive SMS messages from us, you agree to these terms. These terms specifically address SMS communications related to employee and member interactions, conducted in compliance with HIPAA standards and regulations.
Program Description:
Insurance Management Services (IMS) uses SMS messaging to communicate with employees and members regarding important information, including but not limited to:
- For Employees - Payroll notifications, benefits updates, company announcements, schedule changes, training reminders, and emergency alerts.
- For Members - Appointment reminders, prescription refill reminders, claims updates, wellness program information, health tips, and secure links to member portals.
Message frequency will vary depending on the nature of the communication. You can expect to receive up to 2 messages per Week. Urgent messages, such as emergency alerts or time-sensitive health information, may be sent more frequently.
HIPAA Compliance:
IMS is committed to protecting the privacy and security of your health information in accordance with the Health Insurance Portability and Accountability Act (HIPAA). SMS messages will be limited to information that does not violate HIPAA privacy rules. We will never transmit protected health information (PHI) such as medical records, diagnoses, or treatment information via unencrypted SMS. When necessary, messages will contain secure links to access PHI through our secure portal.
Message and Data Rates May Apply:
Message and data rates may apply to each SMS message you receive. Check with your mobile carrier for details on your plan and applicable charges.
How to Opt-In:
Employees:
Employees may opt-in to receive SMS messages by Filling out a Form with the HR Manager.
Members:
Members may opt-in to receive SMS messages by (when available)
- signing up through the member portal.
- contacting customer service.
- texting a keyword.
Members can opt-in to receive text messages from Insurance Management Services by initiating a text conversation by sending the keyword JOIN 8063735944. By starting a text conversation with Insurance Management Services at 8063735944, consumers agree to receive conversational messages, status updates, appointment reminders, and order/shipping confirmations. Message frequency may vary, with an average of 1-2 messages per month. Message and data rates may apply. For assistance, consumers can text HELP or INFO for help. To stop receiving messages, consumers can text STOP or UNSUBSCRIBE.
How to Opt-Out:
To opt-out of receiving SMS messages from IMS:
- reply STOP to any message you receive.
- updating preferences in the member portal
- contacting customer service
After you opt-out, you will no longer receive SMS messages from us, except for a final message confirming your opt-out.
